Using Tags and Tag details
Tags can contain details that are specific to the person to whom the tag is applied.
For example, an organization might use a tag to record each person’s membership or locker number:
Membership Number: 12345Locker Number: 9
Each of these tags has two parts:
- Tag name: The category of information, such as
Membership NumberorLocker Number. - Tag detail: The information recorded for that person, such as
12345or9.
Adding a tag with a tag detail
To create a tag with a detail, separate the tag name and tag detail with a colon.
For example:
Membership Number: 12345
In this example:
- The tag name is
Membership Number. - The tag detail is
12345.
To apply a tag with a detail to one person:
- Go to the People page.
- Click the person’s name to open their profile.
- Find the Tags and Affiliations section.
- Enter the tag name, followed by a colon and the person’s tag detail.
- Click the plus sign to apply the tag.
Once added, the tag name and tag detail will be displayed differently so that you can distinguish the category from the person-specific information.
Tag details are limited to 50 characters.
Applying tag details to multiple people
You can apply the same tag name and tag detail to multiple selected people.
For example, entering:
Division: Northern
will apply the tag name Division and the tag detail Northern to everyone currently selected.
If each person should have a different tag detail, such as an individual membership or locker number, use the spreadsheet import feature instead.
Editing a person’s tag detail
Organization Managers can change a person’s tag detail without deleting and recreating the entire tag.
For example, if someone’s tag is:
Locker Number: 1
you can change the tag detail so that it becomes:
Locker Number: 9
To edit a tag detail:
- Go to the People page.
- Find the person whose tag detail you want to change.
- Click the applicable tag or open the person’s tag information.
- Review the Tag Name to confirm that you are editing the correct tag.
- Change the Tag Detail.
- Click Save.
The updated tag detail will be saved to that person’s profile.
What can be edited?
When editing a person’s tag detail:
- The tag name remains locked.
- The person-specific tag detail can be changed.
For example, you can edit:
Membership Number: 123
to:
Membership Number: 456
The tag name Membership Number remains the same, while the tag detail changes from 123 to 456.
If the tag name itself is incorrect, you may need to remove the tag and apply the correct tag instead.
Updating tag details using a spreadsheet
You can also update tag details for multiple existing people by exporting your People spreadsheet, changing the applicable values and importing the spreadsheet again.
For example, if the spreadsheet contains a column named Locker Number, the values in that column are treated as each person’s tag details:
| First Name | Last Name | Locker Number |
|---|---|---|
| Sophia | Karen | 9 |
| Michael | Smith | 14 |
When the spreadsheet is imported, Checklick can update the corresponding tag details on the existing profiles.
For complete instructions, see Import a Spreadsheet of People.
Removing a tag detail
If you want to remove the tag from one or more people, use the applicable untagging option.
If you delete the tag from the organization’s tag list, the tag and all of its associated details will be removed from everyone who has it.
For more information about the difference between untagging people and deleting a tag completely, see Organizing People with Tags.
